The Maryland Department of Commerce is seeking qualified applicants for the position of Administrative Manager within its Division of Tourism, Film and the Arts, Maryland State Arts Council (MSAC). The primary responsibilities of this position will be to serve as Administrative Manager for all MSAC grant programs and manage all data-management functions. The incumbent will also supervise and coordinate the work of all MSAC administrative support staff.
The incumbent must maintain a current working knowledge of grant opportunities and required processes in order to achieve effective grant compliance and objectives. The position is responsible for all grant data management activities. These activities include: maintaining an automated tracking system for all grants; supervising the logging in of all grant applications; preparing notices to grantees regarding incorrectly completed grant forms, missing grant forms, and outstanding interim or final reports; coordinating the preparation of grant packages; reviewing, analyzing, reconciling and monitoring grant agreement invoices., etc. The incumbent will also supervise the ongoing development, planning and implementation of the agency’s automated grants management system including database, custom Web-based electronic granting system, and custom Web interfaces to specialized Arts council databases.
Candidates must possess strong written, oral communications, and interpersonal skills to work with high level public and private sector officials. The ability to effectively present information, explain policy and respond to inquiries, complete concurrent and high priority tasks is required. Candidates must also have experience with Microsoft Word, Excel, PowerPoint and Access. Experience with Department of Commerce’s customer relationship management (CRM) system (Siebel) is desired.
Candidates must possess a Bachelor's degree (B.A.) from an accredited four year college or university and a minimum of three years experience in administrative staff or professional work, two of which must have been in the administration of an arts organization or work in a public agency or related area. Supervisory experience is required. An equivalent combination of education and experience may be accepted.
